Who it is for

You coordinate a network where every location films for itself.

What it settles

  • A walled workspace for every location
  • Head office approves what joins the shared pool
  • A rejection keeps its reason, its date and its author

Products used

A shared video library for a network gives each location its own walled workspace in Videas, beside a common library that head office moderates. Locations publish freely in their own space, anything proposed for the shared pool waits in a queue until head office approves or rejects it, and head office records each rejection's reason, date and author.

“Fournil & Cie” is a chain of bakery cafés invented for this walkthrough: one head office, twelve shops. Claire Moreau runs the network’s communications.

A network that films, a head office that sees none of it

Every shop already films, and head office sees nothing go by. In the other direction, a national campaign goes out by email and hopes to be used.

Two reflexes set in, and neither holds: one shared folder, where everybody edits everybody else’s files; or everything at head office, after which nobody produces anything.

A shared video library, moderated by head office

Each shop gets a workspace of its own, walled off from the others. Beside them, a network library holds the common pool, which head office alone moderates.

Both ends hold: shops produce without asking permission, and nothing reaches the common pool without going through head office. A rejection carries its reason, its date and its author.

The mechanism goes well beyond a retail chain: a large public network does the same thing with hundreds of autonomous partners.

How it works, step by step

  1. Each shop files into its own workspace

It sees its own files and never anybody else's, and nobody waits on head office to produce.

  2. Head office reviews the queue

Claire Moreau sees everything the shops propose for the network library, here eight videos, and approves with one click.

  3. A rejection stays explained and traceable

The reason is recorded with the date and the name of whoever decided, and the rejected video stays in the shop's own workspace.

  4. The approved library, shared by the whole network

Approved videos form the common pool: every shop pulls brand-ready content from it.

Frequently asked questions

How do you share videos across a network of locations?

Each location gets a workspace of its own, walled off from the others, and a shared library gathers what the whole network may use. Nobody browses anybody else's files, and nobody waits on head office to produce.

Can head office approve videos before they are shared?

Yes: the shared library runs with moderation, so anything a location proposes lands in a queue and head office approves or rejects it. Nothing reaches the common pool without passing through.

Is a rejection explained to the location that sent it?

The reason is recorded with the date and the name of whoever decided, and the rejected video stays in the location's own workspace. The location sees a Validated badge once a video is accepted; the queue and the reason stay on the head-office side.

Can a location publish without asking permission?

Yes, inside its own workspace, which is the point: a shop that has to wait on head office stops filming. Approval only applies to what joins the shared library.

How do you stop locations editing each other's files?

By giving each one its own workspace rather than a single shared folder. Roles are set per workspace, so a location's team works on its files and sees nothing else.

Where do locations find the brand's ready-made videos?

In the shared library, which is the approved pool: national campaigns, product videos, anything cleared. A location pulls from it instead of waiting for an email with an attachment.

Does this work beyond a retail chain?

It fits any network of autonomous members: franchises, a federation of associations, a public network with hundreds of partners. What changes is the number of workspaces, not the mechanism.

Can head office see what the whole network is producing?

Through the moderation queue, which is where everything proposed for the shared library arrives. It is also, in practice, how head office discovers what its locations are filming at all.

How many locations can a network have?

Workspaces are not rationed: a network of twelve and a network of two hundred run the same way. Talk to the Videas team if you are setting up at that scale, so the structure is laid out once rather than retrofitted.

Do the videos stay available if a location leaves the network?

Anything approved into the shared library belongs to the network and stays there. What sits in that location's own workspace is its own, and head office decides what happens to the workspace.
